Job Description

Operational Execution

  • Ensure the optimal execution of assigned contracts through consistent high-quality service to all stakeholders.
  • Collaborate with traders on position follow-ups and resolve commercial issues with shippers.
  • Issue shipping instructions to suppliers in a timely manner to maintain schedule integrity.
  • Manage bookings with shipping lines while maintaining data accuracy within internal systems like SOL and Cargoo.
  • Coordinate with internal teams, brokers, and logistics providers to ensure efficient handovers and position checks.
  • Oversee the processing of shipping documents and the timely execution of payments to shippers.
  • Investigate and follow up on potential weight claims with suppliers to protect company interests.
  • Monitor assigned positions and payables specifically related to coffee suppliers.
  • Review and approve all assigned service invoices to ensure cost accuracy.
  • Conduct monthly stock checks at assigned warehouses and generate corresponding reports.
  • Maintain up-to-date shipper and origin profiles while communicating procedural changes to client teams.
  • Coordinate with the insurance team regarding warehouse counterparty onboarding on CTRM and coverage for insured cases.

Leadership and Management

  • Provide daily oversight of the shared mailbox to ensure all inquiries are handled promptly.
  • Develop and update formal working procedures to standardize team operations.
  • Supervise team members in their daily tasks to ensure operational targets are met.
  • Take direct responsibility for the overall performance and output of the execution team.
  • Provide necessary training, coaching, and motivation to foster professional growth within the team.
  • Lead the interviewing and training process for new team members.
  • Act as a functional back-up for team members during absences to ensure business continuity.
  • Perform weekly monitoring of payable logs, sales invoice due dates, accruals, and position scans.
  • Execute additional analytical, reporting, or declaration missions as requested by the Logistics Manager or Traders.

Job Qualifications

  • Bachelor’s degree with a preference for concentrations in Commodity Trading, Logistics, Risk, or Management.
  • Possess a minimum of 5 years of professional experience, ideally within an international or global environment.
  • Demonstrate experience in coffee trade logistics as a significant advantage for this role.
  • Maintain proficiency in Excel, Word, Outlook, and collaborative tools like MS Teams and SharePoint.
  • Apply a strong working knowledge of Incoterms, international payment terms, and basic logistics principles.
  • Offer familiarity with ESCC or ICE market rules as a plus for specific team functions.
  • Utilize Power BI or Business Intelligence tools to enhance reporting and data analysis.
  • Exhibit proven people management skills with the ability to unite a team and develop individual potential.
  • Maintain a customer-oriented mindset to manage expectations and execute tasks to high standards.
  • Demonstrate strong leadership qualities including initiative, resourcefulness, and a proactive attitude.
  • Identify priorities effectively and apply creative thinking to solve complex problems.
  • Display excellent organizational and communication skills to manage diverse stakeholder requirements.
  • Willing to relocating to Bandung.
